Role - Document Manager/Project Assistant
Location - Dresden, Germany
- The 'Document Manager / Project Assistant' supports the Project Manager & and Project Engineering Manager in managing the project documentation deliveries by maintaining a comprehensive document control and management system.
- The position defines and implements a document control process based on Solutions' rules and guidelines and adapted to the contractual requirements of the project.
- The candidate owns and maintains the Project Master Document List, which is the authoritative tool for the process. The role is the central point of contact for the customer for the contractual technical document transmission.
- The candidate will work closely with all engineering teams, project managers and technical project managers, as well as customer representatives and external partners, subcontractors and suppliers.
Activities and responsibilities
- Management, systematization and archiving of documents in accordance with company guidelines
- Ensuring that documents are up-to-date and accessible to the project team
- Implement and monitor version control and document approval processes
- Work closely with customers and partners to track documentation requirements
- Maintenance of the project's master document list
- Preparing and transmitting documents to customers, as well as tracking feedback
- Support of the construction site management in the use of documents during the construction phase
- Training of end users and functional support of the project team
- Creation of reports and statistics
- Control document data attributes, ensure compliance with quality procedures, report and resolve non-conformities
- Support in administrative tasks (correspondence, coordination of appointments, travel arrangements.)
- Coordination of correspondence between project team and customer including team and customer meetings
- Collaboration in reporting
- Tracking of contract documents
- Translation of various contract documents from/into German and English
- Follow-up of requirements to the customer and suppliers with the following sub-tasks:
- Handover of Scheduling
- Assistance in ensuring that execution deadlines are met
- Support in the preparation of risk assessments / addendum preparation / etc.
- General support in project management
Required qualification
· Commercial vocational training or studies is an advantage
· Several years of professional experience in the project business
· Good communication skills
· Willingness to learn to familiarize yourself with the Group tool MTA
· Confident handling of Office applications (Outlook, Word, Excel, Teams)
· German 'Independent Language Application' level (B2)
· English 'Independent Language Application' level (B2)
· Knowledge of document management systems
· Quality orientation, structured and organized work
