Grants & Funding Officer - #2635996

We're hiring a Grants & Funding Officer to own the financial and administrative side of our growing grant portfolio.

As a deep-tech scale-up, we build complex technology with a strong emphasis on problem-solving, ownership, and continuous learning. To support our next phase of growth, we are looking for a Grants & Funding Officer who will manage the financial and administrative side of our grant portfolio.

This role combines analytical rigor with a hands-on startup mindset. You will work closely with the founders, VP Finance and the Project Manager for Grants. You will manage the full lifecycle of our EU and non-dilutive funding portfolio, and ensure we remain compliant, audit-ready, and on top of every reporting deadline.

Your Role

As a Grants & Funding Officer, you will manage the administrative and financial side of our grant portfolio, from award acceptance to final reporting. You are the main contact for funders on compliance, reporting, and financial matters, and work closely with our Project Manager – Grants.

Key Responsibilities

• Administer grant contracts, award letters, and funding agreements; keep documentation audit-ready
• Set up and manage grant-specific cost centres, budgets, and financial tracking with accounting
• Monitor spending against approved budgets
• Prepare and submit financial reports („Verwendungsnachweise") in line with funder requirements
• Manage drawdown schedules, payment requests, and reimbursement processes for EU and local non-dilutive funding programmes
• Coordinate audits and on-site controls by funders or external auditors
• Ensure compliance with grant conditions across funding types, including cost eligibility, procurement rules, and state aid regulations
• Maintain a master grant calendar and track reporting deadlines across all active funding instruments

Requirements

• Degree in accounting, finance, business administration, or a related field
• At least 1 year of experience in grant administration, project finance, or public funding management
• Knowledge of German public funding rules and EU financial regulations (e.g. Horizon Europe, structural funds)
• Experience with non-dilutive funding programmes at federal, state, or municipal level is an advantage
• Familiarity with EU grant management portals (e.g. Funding & Tenders Portal) is a plus
• Fluent in German and English
